Item Management

The Item Management screen is the home of your catalog: every item you sell, its stock position against the minimum you set, its pricing, and the actions to add, edit, adjust, and organize items. This overview tours the screen; the pages linked at the end walk through each task.

A short tour: search, the low-stock filter, and an item's detail view.

What the screen shows​

Each row in the table is one item:

ItemItem name with its HSN code and barcode beneath, plus the product image thumbnail when one is set. Inactive items carry a red Inactive tag and appear dimmed.
BrandThe item's brand, or a dash when none is set.
StockOn-hand units, with the minimum stock level beneath when one is set. The quantity turns red with a Low Stock badge when the item hits its threshold — see the low-stock rule.
PricingThe sale price, with the MRP beneath it.
ReservedUnits held by open orders and not available to sell.
ActionsAn eye icon that opens the read-only item view, and a menu with Edit, Stock Adjust, Deactivate/Activate, and Delete.

Type in the search box to filter the list by item name, brand, HSN code, or barcode. Results update on their own about 300 ms after you stop typing — there is no need to press Enter. A small spinner in the box shows while results refresh.

Filters​

Three dropdowns sit beside the search box:

  • All Brands — narrow the list to one brand.
  • All Categories — narrow the list to one product category.
  • All Store Locations — narrow the list to items stocked at one store. While a location is selected, the Stock and Reserved columns switch from the item's totals to that store's own figures.
Filters combine — the yellow rings mark the brand, category, and store location dropdowns, which narrow the list together.

Three icon buttons in the toolbar toggle further filters:

  • Low Stock (warning-triangle icon) — show only items that need restocking. The button turns red while active.
  • Reserved (package icon) — show only items with reserved units. The button turns purple while active.
  • Show Inactive Items (crossed-eye icon) — the list shows Active items by default; select this button to switch to inactive items instead, and select it again to return to active items.
Select the blue-ringed low-stock toggle to narrow the list to items at or below their minimum.

Any change to the search term or a filter returns the list to page 1, so the first page of results always reflects what you narrowed down to.

The low-stock rule​

An item's stock quantity turns red and shows a Low Stock badge when both of these are true:

  • the current stock is at or below the item's minimum stock, and
  • the minimum stock is greater than zero.

Items with no minimum stock set never flag as low, whatever their quantity. Set the minimum on the item form — see Add and edit items — to control when the alert appears.

Refresh and pagination​

  • The Refresh button (circular-arrows icon) re-fetches the list; the icon spins while the refresh runs.
  • The list shows 15 items per page, newest first. Page controls sit under the table and show the first page, the last page, and the pages around the current one.
  • Changing a filter or the search term returns you to page 1. Deleting the last item on the last page moves you back to the previous page instead of showing an empty page.

Troubleshooting​

An item you know exists is not in the list

The list shows Active items by default, so a deactivated item is hidden. Select the crossed-eye Show Inactive Items button in the toolbar to switch to inactive items. Also check that no brand, category, store location, or search term is still narrowing the list — any of them limits what you see.

Results do not change the instant you type

Search waits about 300 ms after your last keystroke before refreshing, so very fast typing updates once at the end rather than on every character. Pause briefly and the list catches up — pressing Enter is never required.
