Quotations

A quotation is a priced offer — it reserves and deducts nothing until converted. The same screen also raises Proforma Invoices (a toggle on the form switches the document kind). Open it from Sales → Quotations.

Create a draft, see where a quote can go — Sent, Accepted, Revised, Converted — then delete the draft.

What you can do here

  • Create — pick the contact (GST details snapshot on), add lines from the catalog (the picker shows stock, booked, and available), set Valid Until (defaults to 15 days out).
  • Move it through its life — Mark Sent, then Accepted or Rejected; Revise creates a fresh revision and marks the current one rejected.
  • Convert — To Sale Order (reserves stock) or To Invoice (deducts stock), one tap each. Converted quotes show the resulting document's number.
  • Print, download PDF, export — per row or from the view page.
Every quote with its status — converted rows show the document they became.

Good to know

  • Quotations never touch stock — the form says it plainly; stock moves only on conversion.
  • Only drafts can be deleted. Anything sent stays as history; a rejected quote must be revised before it can convert.
  • Serial-tracked items can't convert straight to an invoice — convert to an order, or raise the invoice on the invoice form, where the exact units are picked.
