Add and edit contacts

Create a customer or supplier record, or update one — the details every invoice, quotation, and payment pull from. Open Contacts in the sidebar and select Add New Contact.

The full pass in 41 seconds: add a contact, edit it, and delete it — with the fields that matter called out.

Add a contact​

  1. In the sidebar, select Contacts.

  2. Select Add New Contact.

  3. In Contact Information, enter the Contact Name and Phone (both required); Email is optional.

  4. In Address, enter the full address including city, state, and pincode (required).

  5. In GST Details, enter the GST Number if the contact has one and pick a GST Type — leave both alone for an unregistered customer.

  6. In Ledger, optionally set an Opening Balance (positive = they owe you, negative = you owe them), a Credit Limit (advisory, shown on the ledger), and a Date of Birth and Anniversary (these power birthday and anniversary offers).

  7. Select Create Contact.

The new contact appears in the list with the type badge the form showed.

The yellow rings mark the required fields — name, phone, and address; GST and Ledger details are optional.

How the contact type is set​

You never pick Customer or Supplier directly. In the form, entering a GST number switches the contact to Supplier and clearing it switches back to Customer — the result shows at the bottom of GST Details as you type. Contacts brought in by import or the API keep whatever type they came with, so a customer can carry a GST number.

Good to know​

  • GST validation blocks saving. A valid GSTIN shows Valid GSTIN with its state; an invalid one explains what's wrong and must be fixed or cleared. The number is printed on invoices and filed in GST returns, so it has to be right.
  • Editing works the same: row menu → Edit → Update Contact. Closing the form (or navigating away) with unsaved changes asks before discarding.
  • Without a date of birth or anniversary saved, occasion offers in Loyalty & Offers can never match this contact.

Delete a contact​

Deleting a contact cannot be undone.

Open the row's menu, select Delete, and confirm with Delete Contact — the dialog names the contact so you can check it's the right one.
