Purchase Invoices

The supplier's bill: recording it raises stock at the receiving store and puts the amount on the supplier's ledger. Open it from Purchases → Purchase Invoices.

Record a supplier bill — GST-inclusive lines, the 30-day due default — then delete it and watch the stock reverse.

What you can do here​

  • Record the bill — the invoice number is the supplier's own bill number (it must be unique), the supplier, the receiving store, and GST-inclusive lines — editing either the inclusive or base price recomputes the other.
  • Watch the ageing — the due date defaults to 30 days out, and the list flags bills past it.
  • Record payments — any amount, any time; no coverage rule on the purchase side.
  • Receive against a PO — converted orders arrive pre-filled with outstanding quantities; saving updates the order's received figures.
  • Delete reverses stock — unlike a sale invoice, a supplier bill recorded in error is deleted, and the stock it brought in goes back out in the same transaction.
Due days age each unpaid bill — amber past thirty.

Good to know​

  • Types: Purchase raises stock, Return deducts it, Credit Note moves none.
  • A cancelled invoice can't be edited.
